Tags in AllClients are flexible labels used to categorize and segment your contacts with a high level of detail. Unlike Categories and Sources, which are typically used for broader classifications,
Tags allow for more granular sorting and filtering. A key feature of Tags is that a single contact can have multiple Tags assigned, enabling highly specific grouping for targeted marketing and follow-up. Tags can be customized with names, colors, and icons to help you visually organize your database.
With the AI Tag wizard, creating relevant tags for your business has become even easier. Tags are also integrated with other powerful AllClients features like Workflows and importing contacts, allowing for automated tagging based on contact actions or for categorizing contacts upon entry into the system.

To Manually Add Tags to your database:
1. Go to Settings, then click Tags.
This is a sample list of Tags:
Edit Tags from this list by clicking on the Tag name you want to edit.
To delete a Tag, select the Tag by checking the box to the left of the Tag and then click Delete Selected Tag at the bottom of your list of Tags.
Follow the steps below to add new tags.

From the Contact, click the Tags link to add Tags to the Contact.
Remove Tags from a contact by clicking the X in the corner of the tag. You will click once to highlight, then click again to confirm the removal of the tag from the record.

Q: Can I add Tags to multiple contacts at once? A: Yes, using Group Actions. Go to Contacts > Group Actions, add the desired contacts to a workgroup, go to the Actions tab, select Group Edit, click Add Tag, select the Tag you want to add, and apply changes.
Q: How do I search for contacts based on a specific Tag? A: When your contacts have tags assigned you will be able to search and bring up all of the contacts with that tag in seconds. You can search for contacts by Tags using a few different methods:
- Basic Search: Go to Contacts > Contact List. Use the Tag dropdown in Basic Search.
Advanced Search: Go to Contacts > Contact List > Advanced Search tab. Select 'Include if Assigned Tag' as the field and choose the Tag from the dropdown.

Q: Can I search for contacts that don't have a specific Tag? A: Yes, using Advanced Search. Go to Contacts > Contact List > Advanced Search tab. Select 'Exclude if Assigned Tag' as the field and choose the Tag you want to exclude. Click Search.
Q: How do I edit an existing Tag's name, color, or icon? A: Navigate to Settings > Tags. Click on the name of the Tag you want to edit. Make your changes and click Save. Editing a Tag's name, color, or icon updates the Tag wherever it is used across all contacts currently assigned that Tag.

Q: How do I delete a Tag I no longer need? A: Navigate to Settings > Tags. Check the box next to the Tag(s) you wish to delete. Scroll down and click the Delete Selected Tag button.
Q: What happens to contacts if I delete a Tag? A: Deleting a Tag permanently removes it from the system and unassigns it from all contacts that had it. This action cannot be undone. If you ever want to delete a tag, you are just deleting the tag itself. You are not deleting the contacts that have that tag assigned.
Q: Can Tags be used in Workflows? A: Yes, Tags can be added or removed as steps within an automated Workflow. They can be used in the trigger section or as an action step. You can also Stop, or Continue, a Workflow based on the contact being assigned a specific Tag.
Q: Can I automatically add or remove Tags using Workflows? A: Yes. You can configure a Workflow step to add a specific Tag or remove a specific Tag from a contact when the Workflow runs. This can be triggered by various events, like a landing page submission or clicking an Intelligent Link.
Q: Can I import Tags when importing contacts? A: Yes, in two ways:
- Assign to Batch: During the import process (Data Migration > Import Contacts), you can select one Tag to be assigned to all contacts in that specific import file.
Map Field: If your import file (.CSV) has a column containing Tag names, you can map that column to the 'Tag' field in AllClients.
If the Tag names in your file don't match the Tag names already set up in your AllClients account, the Tag will be added and also added to your Tag Library in Settings
Q: How can I see all contacts associated with a specific Tag? A: Navigate to Settings > Tags. Find the Tag in the list. Click on the number displayed in the Contacts with this Tag column. This will take you to a filtered list of all contacts assigned that Tag.
Q: Can I see Tags in my main Contact List view? A: No. The Tags are not available on the Contact List view due to the limited space available.
Q: Is there a limit to the length of a Tag name? A: Tag names are limited to 40 characters.
Q: If I'm on a Team, can I see and use Tags created by other team members? A: Tags are shared across the Account. The account owner and account administrators manage the Tags for the account.
Q: Can I filter reports based on Tags? A: You can filter contacts by Tags using Advanced Search. You can use that information for your custom reports.
Q: Is there a way to merge or combine duplicate Tags? A: There is not a specific feature for merging duplicate Tags. If you accidentally create similar Tags (e.g., "Webinar Attendee" and "Webinar Attendees"), you would need to manually:
- Choose which Tag to keep
- Add the contacts from the unwanted Tag to the desired Tag using Group Actions
Delete the unwanted Tag (Settings > Tags > Select Tag > Delete Selected Tag)
Q: Do Tags appear on exported contact files? A: When exporting contacts (Data Migration > Export Contacts), you can select which fields to include. 'Tags' is an available field you can choose to include in your exported CSV file, allowing you to see the first 10 Tags that were assigned to each contact offline.
