Overview

Tags are flexible labels used to categorize and segment your contacts with a high level of detail. Unlike Categories and Sources, which are typically used for broader classifications, Tags allow for more granular sorting and filtering. A key feature is that a single contact can have multiple Tags assigned, enabling highly specific grouping for targeted marketing and follow-up. Tags can be customized with names, colors, and icons to help you visually organize your database. To streamline this process, the AI Tag wizard can suggest relevant tags for your business. Tags are also integrated with other powerful features like Workflows and contact importing, allowing for automated tagging based on contact actions.

How to Create and Use Tags

1. Generate Tags with the AI Wizard (Recommended)

This is the easiest way to create a set of relevant tags for your business. The AI wizard will suggest tags and icons based on your industry.

  • Navigate to Settings > Tags.
  • Click the AI Tag Wizard button.
  • Enter keywords related to your industry or specialty (e.g., "real estate," "insurance agent") and click Generate Tags.
  • Review the suggested tags and select which ones you would like to add to your library.



2. Manually Add or Edit Tags

You can also create tags manually or edit existing ones at any time.

  • From the Settings > Tags screen, click the Add Tag button.
  • In the window that appears, provide a Name, choose a Color, and select an Icon for your tag.
  • Click Save.
  • To edit an existing tag, simply click on its name in the list.


3. Assign or Remove Tags on a Contact Record

Once your tags are created, you can assign them to your contacts.

  • Navigate to a contact's record and click the Tags link.
  • A window will appear with your list of available tags. Click on any tag to assign it to the contact.
  • To remove a tag, click the 'X' in the corner of the tag. You will need to click a second time to confirm the removal.

Q: How are Tags different from Categories or Sources?

A: While Categories and Sources are for broader classifications (and a contact can only have one of each), Tags allow for more detailed sorting. A single contact can have multiple Tags assigned, enabling more specific filtering.


Q: Can I use both the AI wizard and manual creation for Tags?

A: Yes. The AI wizard is a great starting point, and you can always add, edit, or delete tags manually to perfectly fit your business needs.


Q: How can I add or remove a Tag for a large group of contacts at once?

A: Use the Group Actions feature. Add your contacts to a workgroup, navigate to the Actions tab, select Group Edit, and from there you can add or remove a specific tag for the entire group.


Q: What is the best way to search for contacts using Tags?

A: The Advanced Search feature provides the most flexibility. You can filter for contacts that have a specific tag, exclude contacts with a specific tag, or search for contacts that have a combination of multiple tags.


Q: What happens if I edit or delete a Tag?

A: Editing a tag's name, color, or icon will update it everywhere it is currently used. Deleting a tag permanently removes it from the system and from any contacts it was assigned to. This does not delete the contacts themselves.


Q: How do Tags work with automation?

A: You can use Workflows to automatically add or remove tags from a contact. This can be triggered by events like a landing page submission or a contact clicking a specific link in an email.


Q: Can I import contacts with Tags already assigned?

A: Yes. During the import process, you can either assign one tag to the entire batch of imported contacts or map a column in your CSV file to the "Tag" field in the system. If a tag in your file doesn't already exist in your settings, it will be automatically created.


Q: Where can I see a list of all contacts that have a specific Tag?

A: Navigate to Settings > Tags. The list will show a "Contacts with this Tag" column. Click the number in that column to see a filtered list of all contacts assigned that tag

This is the tag setting screen.


Tags like categories and Category 2 are just a different way to categorize your contacts.

With category and Category 2 you can only assign one to each contact with tags a single contact can have multiple tags.


Tags are a great way to classify your contacts.

Once you have a tag assigned to each contact your whole database will make a lot more sense.


When you first get the system you will not see any tags because using the AI Tag wizard is the easiest way to add tags.


Click here to get started. 


Then enter your industry or specialty or any key words. 


Then click Generate Tags. 


The system will suggest tags and even suggest a great icon. 


You can add all the Tags that AI suggested by clicking here. 


Or  click on the tags you don’t want included and they will turn grey. 


You can also add Tags manually by clicking here. 


When your contacts have tags assigned you will be able to search and bring up all of the contacts with that tag in seconds. One of the easy ways to do it is right here.


Click on the number next to the tag and the system will show you which contacts have that tag assigned.


If you ever want to delete a tag, you are just deleting the tag itself. You are not deleting the contacts that have that tag assigned.
