Setup: Gmail or Outlook Account

Connecting your Gmail or Outlook account links your inbox to your CRM so you can view email history on contact records, reply to messages from inside the system, and discover contacts already hiding in your inbox.

This is a one-time setup. Once connected, the integration stays active until you choose to disconnect it.

Before You Begin

Decide which account you want to connect before starting. Supported options are:

  • Gmail
  • Google Workspace
  • Outlook
  • Microsoft 365

You will also be asked to approve a connection through Unipile, which is the secure service used to link your email provider to the CRM. This is a normal part of setup.

Step-by-Step Instructions

Step 1: Open the Integration Settings

Go to Settings and click Gmail and Outlook Integration.

This opens the connection page where you choose the account type you want to connect.

Step 2: Choose Your Account Type

Click Connect next to your account type — either Gmail / Google Workspace or Outlook / Microsoft 365.

Step 3: Review the Connection Message

A message will appear explaining the connection. Key points to know:

  • The connection is handled through Unipile, a secure third-party service
  • Your email password is not stored in the CRM
  • Your emails remain in your email provider and are only displayed when needed
  • You can disconnect at any time

Click Continue to proceed.

Step 4: Sign In to Your Email Account

You will be taken to your provider's sign-in screen. Select the account you want to connect. If it is not listed, choose Use another account and sign in manually.

Step 5: Approve Permissions

Your provider will show a permissions screen asking you to authorize Unipile to access your account. This is required for the integration to work.

Click Continue to approve.

Step 6: Confirm the Connection

After approving permissions, you will see a confirmation message such as Account successfully added!

Click Close.

Step 7: Verify the Connected Status

You will be returned to the Gmail and Outlook Integration page. Your connected account should now show:

  • A Connected status
  • Your connected email address
  • A last verified date and time

Your setup is complete. ✅

Optional: Enable Calendar Sync

After the email account is connected, you can also sync a calendar. On the same settings page, look for the Select Calendar to Connect section.

To enable it:

  1. Click Enable next to the calendar sync option
  2. Select a calendar from the dropdown
  3. Click Enable Sync

💡 If you want to keep CRM appointments separate from your personal schedule, consider connecting a secondary calendar rather than your primary one.

Questions and Answers

Q: What is Unipile and why does it appear during setup?

A: Unipile is the secure connection service used to link your email provider to the CRM. It handles the authentication between the two systems. Your password is never stored in the CRM.


Q: I don't see the account I want to connect on the sign-in screen. What should I do?

A: Choose Use another account on the provider's sign-in screen and sign in with the account you want to connect.


Q: Do I need to enable calendar sync during setup?

A: No. Calendar sync is optional and can be enabled after the email account is connected.


Q: How do I disconnect the integration later?

A: Go to Settings > Gmail and Outlook Integration and click Disconnect next to your connected account.


Q: Can I connect more than one email account?

A: The settings page will show what options are available for your account. If you need to connect a different account, disconnect the existing one first and reconnect with the new account.


Q: What does the Verify button do?

A: It checks the connection and confirms your account is still properly linked. Use it if you suspect the connection may have been interrupted.
