Setup: Writing Voice Profiles
Why This Matters
The AI Writer produces good drafts by default, but it doesn't automatically know how you write. Writing Voice Profiles fix that. By providing a few samples of your own writing, you teach the AI your personal style — your vocabulary, sentence length, tone, and personality. Once set up, you can apply your voice to any AI-generated draft with a single click using the Use My Writing Style button in the AI Writer.
If you're the only person using your account, you already have full access to this feature. Team members need the AI Features permission enabled to use Writing Voice Profiles.
Before You Begin
- You'll need 1–5 samples of your own writing to set up a profile. These can be emails, letters, social posts, or any text that represents how you like to communicate.
- Better samples produce better results. Aim for samples that are 200–1,000 characters each. A live character counter shows your length as you type.
- You can create multiple profiles for different purposes — for example, one for sales emails and one for casual follow-ups.
Step-by-Step Instructions
Step 1: Go to Writing Voice Settings
Navigate to AI → Writing Voice Settings in the main navigation bar.
Step 2: Create a New Profile
Click Add New Profile. Give your profile a name that describes its purpose — something like "My Professional Voice," "Casual Style," or "Sales Emails." A clear name makes it easy to choose the right profile later when you're working in the AI Writer.
Step 3: Add Your Writing Samples
Paste your writing samples into the sample text boxes. You can add up to 5 samples per profile. These should be real examples of your writing that represent the voice you want the AI to capture.
A few tips for choosing good samples:
- Use writing that genuinely sounds like you — not something you heavily edited or wrote more formally than usual
- Mix different types if you want a well-rounded voice (a casual email, a sales pitch, a follow-up note)
- Aim for at least 200 characters per sample — very short samples give the AI less to work with
- More samples produce more accurate results — all 5 slots are used when the AI rewrites your draft
Step 4: Save Your Profile
Click Save Profile. Your profile is ready to use immediately in the AI Writer.
Step 5: Use Your Profile in the AI Writer
When you're working on a draft in the AI Writer, click Use My Writing Style. If you have one profile, it applies automatically. If you have multiple profiles, a dropdown appears so you can choose which voice to use. The system remembers your last-used profile and pre-selects it next time.
Managing Your Profiles
- Switch between profiles — Use the Select Profile dropdown to move between your saved profiles
- Rename a profile — Click Rename to update a profile's name at any time
- Delete a profile — Click Delete Profile to remove a profile. You'll be asked to confirm before it's deleted
- Update samples — Open any profile and edit the sample text boxes, then save again to update

Q: How many profiles can I create?
A: You can create multiple profiles. Most users find two or three covers their needs — for example, one professional voice and one casual voice.
Q: Do team members share the same Writing Voice Profiles?
A: No. Writing Voice Profiles are personal to each user. Your profiles are separate from your team members' profiles and only you can see and use them.
Q: What kind of writing makes the best samples?
A: Real writing you've actually sent — emails, follow-up notes, letters, even social media posts. The goal is to give the AI authentic examples of how you naturally communicate, not polished or heavily edited writing.
Q: Can I use the Writing Voice feature without setting up a profile first?
A: No. You need at least one saved profile with at least one writing sample before the Use My Writing Style button in the AI Writer will work.
Q: Will the AI perfectly match my writing style?
A: It will get close, especially with good samples, but it's a starting point not a final draft. Plan to review and tweak the result just as you would any AI-generated content.
