Export Contacts

Overview

Exporting contacts allows you to create a backup of your database or move data to other systems. The system supports exporting your entire contact list or filtered groups of contacts.

Exports are downloaded as CSV (Comma Separated Values) files, which can be opened in spreadsheet programs like Excel or Google Sheets for easy review and editing.


Best Practice: Regularly exporting your contacts is recommended as part of your data backup routine.


How to Export Contacts

1. Access Data Migration

  • Click on your Profile Picture Menu in the top-right corner.
  • Select Data Migration from the dropdown.

2. Choose Export Contacts

  • On the Data Migration page, click Export Contacts.

3. Choose Export Options

  • Decide whether to export All Contacts or only Filtered Contacts (e.g., a Group Action Workgroup you’ve built in advance).
  • Use Group Actions to export a filtered group.

4. Select Fields to Export

  • Choose which contact fields you want included in your export.
  • Customize which columns appear in the CSV file.
  • For Custom Fields, choose how headers will appear (labeled or generic).

5. Export Your File

  • Click Export Contacts.
  • The CSV file will download to your computer.
  • Open it in Excel, Google Sheets, or another spreadsheet program to review your data.

Q: What file format is the export?

A: Yes. Build a workgroup using Group Actions first, then choose Contacts in Group Actions during the export.

A: The system allows you to select which fields to include, but ordering depends on the export template and cannot be rearranged during export.

A: It’s recommended to export periodically as a backup, especially before major updates or changes to your database.


Troubleshooting Tips

  • File won’t open? Ensure you’re using software that supports CSV files (Excel, Google Sheets).
  • Missing contacts? Check your filters or workgroup selection before exporting.
  • Fields missing? Review your field selection step to confirm all needed fields are checked.
  • Special characters not displaying correctly? Open the file in UTF-8 compatible editors to avoid encoding issues.
